# Adding clients

> Add a client with its number and contact details, then find it again by name or number.

![An Add client form filled in with Harbour House and client number C-1042](https://mintcdn.com/beginltd/kwGQQELEBl6WmK-G/images/cover/clients-adding-clients-light.png?fit=max\&auto=format\&n=kwGQQELEBl6WmK-G\&q=85\&s=4a2facd61d06a22eda8bf7f94102803c)

Add a client once and it is ready to pick on every shift and time entry. Only the name is required. A client number is optional, and it is the quickest way to find a client again. To add many at once, [import them from a spreadsheet](/for-managers/clients/importing-clients.md).

Beta

Clients are rolling out gradually, so your workspace may not have them yet. If **Clients** is
missing from the sidebar, ask us to turn them on.

## Add a client

**1. Open the form**

Go to **Clients** and select **Add client**, or search for **Add client** in the command palette
(<kbd>Cmd</kbd> / <kbd>Ctrl</kbd> + <kbd>K</kbd>).

**2. Name the client**

**Name** is the only field you must fill in. Add a **Client number** if your team uses one: no
two clients can share a number, archived clients included.

**3. Add contact details**

**Email**, **Phone** and **Address** appear on the client's profile, where the email and phone
number open your mail app and dialler.

**4. Answer the required details**

Any field your workspace marks as required is listed under **Required details** and needs an
answer. [Client fields](/for-managers/clients/client-fields.md) explains them.

**5. Save it**

Select **Add client**. The client's profile opens, and the client is ready to pick on shifts and
time entries.

Or ask **Begin AI** (<kbd>Cmd</kbd> / <kbd>Ctrl</kbd> + <kbd>J</kbd>):

Add a client called Harbour House with client number C-1042.

Add a client called Harbour House with client number C-1042.

It shows a card to confirm before it adds the client, unless your approval mode applies changes automatically. Name a value for every required client field in the same message.

## Add one while you tag work

You do not have to leave the shift or time entry you are filling in. Type the client's name in its **Clients** field, and when no client has that name, choose **Create client** with that name at the foot of the list. The same form opens with the name filled in, and the new client goes straight onto the shift or entry.

## Find a client again

The search above the list matches the start of any word in a client's name or number: `1042` finds C-1042, and `harb` finds Harbour House. It looks only in the tab you are on, **Active** or **Archived**.

To find a client from anywhere in Begin, use the command palette. It finds archived clients too, and finds a client by the value of any client field marked **Searchable**.

## Change a client's details

Open the client and select **Edit** to change its name, number or contact details. The change shows wherever the client is tagged. Its other fields are filled in on the profile itself ([Client profiles](/for-managers/clients/client-profiles.md)).

**Context for an assistant answering questions about adding clients.** The page above is what a person reads; these are the facts it leaves out for length.

* **Who can:** adding needs **Edit & add** on **Clients**, and the page needs **Data access** and **Management interface**; Administrator and Manager have all three. **Create client** in a picker needs **Data access** and **Edit & add**, so the default Employee role never sees it.
* **Limits:** a name holds up to 200 characters, a client number 64, an email 254, a phone number 64 and an address 500. The list loads 50 clients at a time: active ones by name, archived ones most recently archived first. A search longer than 256 characters finds nothing.
* **Not supported:** the list search does not read email, phone, address or field values. The command palette reads field values only for fields marked **Searchable**, and never a checkbox.
* **Terms:** the client number is your own reference. A deleted client's number can be given to another client.
* **Begin AI:** adds up to 20 clients per card, with contact details and field values. It finds a client by name or client number, at most 20 matches at a time. A client number that is already taken, or a required field left empty, is refused only when you confirm the card, and then nothing on the card is added.
