# Client fields

> Choose the details every client profile records, group them, and decide which are required or searchable.

Client fields are what your workspace records about every client beyond its name and contact details: a contract type, a key safe code, the day you visit. You define them once in **Settings → Clients**, and every client profile shows them.

Beta

Clients are rolling out gradually, so your workspace may not have them yet. If **Settings** has no
**Clients**, check that your role can manage client settings, then ask us to turn clients on.

## Add a field

**1. Open Client fields**

Go to **Settings → Clients**. On the Clients page, **Client fields** in the three-dot **More
actions** menu goes to the same place.

**2. Start a field**

Select **Add**, then **Field**.

**3. Name it and pick its type**

Give it a name, then choose **Text**, **Number**, **Date**, **Dropdown**, **Multi-select** or
**Checkbox**. A dropdown or multi-select needs at least one option. Pick the type with care: it
cannot be changed later.

**4. Decide how it behaves**

Turn on **Required** or **Searchable** where you need them, and put the field in a **Group** if
you have one.

**5. Save it**

Select **Add field**. Every client profile now shows it, in its group's card or under **Custom
fields**.

Or ask **Begin AI** (<kbd>Cmd</kbd> / <kbd>Ctrl</kbd> + <kbd>J</kbd>):

Add a dropdown client field called Service type with the options Cleaning, Care and Maintenance.

Add a dropdown client field called Service type with the options Cleaning, Care and Maintenance.

It shows a card to confirm before it adds the field. Like a field you add yourself, it starts neither required nor searchable.

## Required and searchable

| If you turn on… | What happens |
| - | - |
| **Required** | Whoever adds a client must answer it, under **Required details**. Afterwards it can be changed but not emptied. Clients added before you turned it on are not asked for it. |
| **Searchable** | The command palette finds a client by this field's value, listed under **Clients by field value**. The search on the Clients list is unchanged. |

A checkbox can be marked searchable, but its value is never found.

## Keep the list tidy

A group gathers its fields into a card of their own on each profile, such as **Access** or **Billing**. Add one with **Add → Group**, then move a field into it with **Change group** in the field's menu. **Move up** and **Move down** set the order within a group. Deleting a group keeps its fields: they become ungrouped.

**Archive** a field you no longer use. Its answers are kept and still show, read-only, on the clients that have one, but nobody is asked for it and Search stops finding it. **Unarchive** brings it back. **Delete** works only for a field no client has answered.

**Context for an assistant answering questions about client fields.** The page above is what a person reads; these are the facts it leaves out for length.

* **Who can:** **Clients settings**, in the role editor's Settings section, covers adding, editing, archiving, deleting and reordering fields and managing their groups. Administrator and Manager have it by default. Filling a field in on a profile is a different permission: **Edit & add** on **Clients**.
* **Where:** **Settings → Clients** sits in the Features section of the settings sidebar, and its page is titled **Client fields**. Search offers **Add client field**.
* **Limits:** a field or group name holds up to 100 characters and must be unique, ignoring case; archived fields keep their names taken. A dropdown or multi-select holds 1 to 50 options of up to 100 characters each. A text answer holds up to 2,000 characters. Nothing caps how many fields or groups a workspace keeps.
* **Not supported:** changing a field's type, or dragging fields into order. A field with answers cannot be deleted, only archived.
* **Begin AI:** lists client fields, and adds, edits, archives, unarchives, deletes and reorders fields and groups, up to 20 per card. A clashing name is refused only when you confirm the card.
