Adding somebody and inviting them are two things, and you can stop after the first. A person with no Begin account still goes on the schedule, still has hours against their name and still appears in a report. They cannot sign in yet.
Adding and inviting people belongs to the Administrator and Manager roles. If People is not in
your sidebar under Manage, your role does not carry it.
Add somebody, and let them in

Open People and choose Add person
It is under Manage in the sidebar.

Name them, and pick a role
First name, Last name and Role are the top of the form.

Give them an email address
Email is under Contact information, and Send invite email sits right beneath it,
already ticked. That tick is what sends the invitation. One address per person: a shared inbox
cannot be invited twice.

Assign them while you are here
Positions, Departments and Locations are in the panel beside the form. Somebody who
holds exactly one position and one location gets both filled in for them on every shift you
make.

Add person, at the foot of the form
The invitation goes as you save. They get an email headed You’re invited to join your
workspace, with seven days to use it, and their row reads Invitation pending until they do.
Which role to give
Anything else starts from one of those. Add role on Settings → Permissions copies the role you pick, and you change its toggles afterwards.
Several at once, or send the link yourself
Select the rows you want, right-click, and choose Send invites to selected. Begin counts what is about to go out and names anybody it will skip for having no email address. Copy invite link is on the same menu. It is the same invitation, carried by you instead of by us, which is what to reach for when somebody’s email is unreliable and you have them on a chat. Seven days is the whole life of one. Resend invite on their row issues a new invitation,
cancels the old one, and starts the seven days again.

Not to the schedule: you can roster them, record their hours and report on them exactly as
usual. It matters to the bill, because a person counts towards your plan from the moment you add
them, invited or not, until you deactivate them. If your plan has no seat left, Add person
and Send invite refuse until you deactivate someone or change plan. Re-inviting someone you
deactivated takes a seat again.
